EXECUTIVE ASSISTANT TO DIRECTOR – FMCG (SURABAYA)
ABOUT OUR CLIENT
Our client, an FMCG company is looking for potential candidates to be placed as Executive Assistant to Director with details as follows:
JOB SUMMARY
- Position: Executive Assistant to Director
- Division: Assistant
- Location: Surabaya

REQUIREMENTS:
- Minimum S1 Education (Degree in business administration or relative field)
- Male / Female with minimum 2 years experience
- Have exceptional skills/knowledge in secretary or administrative jobs
- Computer literate (MS Excel, Word, PowerPoint, and/or Photoshop is a plus)
- Responsible, honest, trustworthy, disciplined, and willing to learn new things
- Detailed type of person and highly organized
- Familiarity with basic research methods and reporting techniques
- Presentable with a good attitude
- Able to work under pressure
- Must be willing to work on weekends when required
- Must be willing to travel
- Flexibility and adaptability to juggle a range of different tasks and work extra hours to meet deadlines
RESPONSIBILITIES:
- Provides high-level administrative support and assistance to the President Director
- Maintain President Director’s agenda and assist in planning appointments, board meetings, conferences, etc.
- Organize and set up executive/board meetings
- Handling a wide variety of tasks and situations
- Receive and screen phone calls and redirect them when appropriate
- Prepare invoices or financial statements and provide assistance in bookkeeping
- Performs additional duties as assigned by President Director
- Handle and manage outgoing or incoming letters of President Director
- Receives and monitors all incoming calls to the Managing President Director’s office
- Preparation of reports as required by President Director
- Organizes President Director’s calendar and task
- Communicates with every head of department to ensure that the request made by the President Director is met.
- Handle confidential documents ensuring they remain secure
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned
